Front office / reception support needed NOW!

Our client offers full-service financial planning to individuals, families and businesses. They’re committed to customer service and need part time / temporary support from friendly individuals who consistently provide top notch front office support as a core aspect to building long term customer relationships.

Do you have reception, front office or concierge experience? In addition to this position, we are in need of PT/Temp reception and administrative support throughout Los Angeles for clients in entertainment, accounting/finance and insurance/benefits. About the Job - May Include the following Duties:

  • Greet and announce visitors
  • Oversee lobby cleanliness, safety and maintenance
  • Answer incoming phone calls
  • Screen and transfer all incoming calls as instructed
  • Basic filing
  • Coordinate deliveries to and from office (newspapers, mail, FedEx)
  • Special projects
  • Prepare or edit documents
  • Assist management, back office and marketing teams as requested
  • Manage room schedules for conferences and meetings
  • Contact clients via phone, email and fax to discuss business related matters or confirm appointments
  • Update database with client details
  • Answer phones using switchboard (heavy call volume)
  • Scan and fax documents

About You:

  • 1+ year experience in reception, concierge, front office (MUST)
  • Intermediate computer skills & comfortable using MS Office Suite, MS Word and Excel (MUST)
  • Desired Characteristics / Personality: Pleasant and friendly demeanor, articulate telephone etiquette, communication skills, organizational skills, team player and willingness to collaborate on projects, warm, professional, punctuality
