Our client, a fast paced and exciting international media company who continues to expand their industry reach into sports, music, food and beverage, seeks a highly efficient legal administrative assistant for their legal department. To be considered, candidates must have administrative support experience in a legal environment.

About the Position:

  • Answer phones and direct calls
  • Assist attorneys with immediate tasks
  • Greet clients and guests
  • Provide backup support to other secretaries
  • Draft and edit legal documents and correspondence (pleadings and memorandum)
  • Format court pleadings according to applicable court rules (incl TOAs / TOCs)
  • Research state and federal rules of court
  • Ensure adherence to rules of court and codes of civil procedure
  • File court documents with various courts and administrative bodies
  • E-file court documents when available
  • Assist with meeting and event preparation (depositions, hearings, mediations, trials and other litigation proceedings)
  • Review and maintain case files
  • Ensure proper maintenance of case files
  • Coordinate and schedule meetings, conferences, activities and other
  • Manage department calendar, ie out-of-office
  • Create and edit existing PowerPoint presentations
  • Maintain digital database and provide information as requested
  • Maintain paper files and binders
  • Provide cross-departmental support
  • Oversee completion of contract review and execution
  • Sort and distribute mail

About the Candidate:

  • High school diploma (MUST)
  • BA Degree (PLUS)
  • 1+ years’ experience in a law firm or legal department (MUST)
  • Intermediate computer skills including MS Office suite (MUST)
  • Database management experience (PLUS)
  • Advanced characteristics/skills: superior customer service, excellent grammar and writing skills, excellent spelling and punctuation, organized, problem solver, multitasking in fast paced environment, attention to detail, self-starter, strong verbal and written communication skills, confidentiality
