Our client, a fast paced financial services firm, seeks a highly efficient administrative assistant for a 1 month contract to cover a full time employee while on leave.

This is a contract position paying $18-20/hour.

About the Job:

  • Provide administrative support for multiple individuals
  • Coordinate and schedule meetings, conferences, activities and other
  • Maintain calendars and schedule meetings for multiple individuals
  • Plan travel arrangements (airline, hotel, car rental, car service)
  • Draft and edit professional correspondence, ie letters, emails, memos and other
  • Create and edit existing PowerPoint presentations
  • Data Entry
  • Basic filing
  • Maintain paper files and binders
  • Maintain digital database
  • Maintain contract logs
  • Process and track expense reports and reimbursements
  • Meet and greet visitors
  • Answer phones
  • Coordinate conference rooms including catering
  • Provide cross-departmental support
  • Act as back up support to Receptionist
  • Act as backup to other administrative assistants, as needed

About the Candidate:

  • 2+ years’ experience corporate administrative position (MUST)
  • 1+ years’ experience booking travel and processing expense reports (MUST)
  • 1+ years’ experience working in financial services industry (PLUS)
  • Advanced computer skills with Word, Excel, PowerPoint, Outlook (MUST)
  • BA degree or some college (PLUS)
  • Personality and skills: strong interpersonal skills, self-starter, motivated and enthusiastic, able to meet deadlines, can do attitude, strong verbal and written communication, able to prioritize multiple projects and multitask, follow instructions well, time management, high attention to detail, excellent organizational skills
