We seek a savvy Legal Secretary for our client, an established, Valley based, legal firm specializing in real estate, intellectual property and employment litigation.

Our client is well-respected among their industry peers and active in local and national events. They organize multiple educational programs, including frequent “entertainment law” symposiums and motion picture related programs. They enjoy an active role in their community through local and national charitable organizations, including Heart of Los Angeles and the Los Angeles Free Clinic.

This role is client-facing and assists multiple Senior Partners by providing legal and administrative assistance for complex civil litigation.

The ideal candidate brings more than 5 years’ experience as a legal assistant with direct experience in trial preparation, verbal transcription services and legal document creation. They are a motivated self-starter who functions well in fast-paced offices.

About the Position:

  • Coordinate executive communications
  • Answer telephones for attorneys
  • Greet clients and visitors
  • Interact with clients
  • Distribute incoming calls
  • Review incoming correspondence and pleadings for dates
  • Calendaring
  • Respond to emails
  • Prepare discovery and agreements
  • Draft legal documents, ie pleadings, correspondence and memorandum
  • Schedule meetings and appointments
  • Order medical records and other information from 3rd party providers
  • Coordinate business travel arrangements
  • Research court requirements and filing fees
  • Manage travel itineraries
  • Provide management oversight of claim files
  • Document claim details and updates (e.g. coverage, liability, treatment, damage assessments)
  • Gather supporting documentation (e.g. medical bills and records, extent of injury claims)
  • Maintain an organized, paper and electronic, filing system
  • Prepare files for demands
  • Transcribe verbal dictation
  • Maintain diary program
  • Liaise between firm staff and clients, insurance adjustors and medical providers
  • Uphold a strict level of confidentiality
  • Develop and maintain a high level of professionalism
  • Administrative duties
  • Special projects, as assigned
  • Draft and edit correspondence
  • Manage client relationships
  • Provide backup to other administrative support staff
  • Schedule court hearings, depositions and client meetings
  • Prepare documentation for trial
  • Set up conference calls

About The Candidate:

  • 5+ years’ experience as a legal assistant (MUST)
  • 2+ years’ experience working with civil and personal injury litigation (MUST)
  • 2+ years’ experience state/federal filing, e-filing, pre-trial guidelines and preparation (MUST)
  • 2+ years’ experience scheduling court hearings, depositions and client meetings (MUST)
  • 2+ years’ experience with personal injury industry standards and practices (MUST)
  • 2+ years’ experience in Knowledge of ERISA (MUST)
  • 2+ years’ experience in verbal dictation and transcription (MUST)
  • Intermediate computer skills: MS Word, Adobe Business, Abacus and Westlaw Legal Solutions (MUST)
  • Personality, Characteristics and Skills: professional, excellent follow through, detail oriented, positive attitude, upbeat, friendly, advanced written and oral communication, able to multi-task, able to work independently, self-motivated, organized, efficient, team player, able to delegate, “can-do” attitude, critical thinker, honest, reliable, meets deadlines easily
